This page explains what personal data Ephology Limited (“Ephology”, “we”, “us”) collects through www.ephology.com, why, and the choices you have – written in plain English, in line with the UK GDPR, the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

The personal data we collect
1. Contact form submissions
If you use the enquiry form on our Contact page, we collect whatever you enter – typically your name, email address, phone number and message – and use it only to reply to your enquiry. The form is processed by our third-party form provider, Web3Forms, which delivers your submission to our inbox; Web3Forms does not require an account or track visitors. Legal basis: our legitimate interest in responding to enquiries about our services, or steps taken at your request prior to entering into a contract with us.
2. Analytics cookies (only with your consent)
We use Google Analytics 4 to understand how visitors use this site – which pages are popular, how people found us, and where things could work better – so we can improve it. We do not use this data for advertising, and we do not sell or share it with anyone except Google, as our analytics processor.
Analytics only runs if you click Accept on the cookie banner. If you click Decline, or simply close the tab without choosing, no analytics cookies are set and no analytics data is collected. Legal basis: your consent, which you can withdraw at any time (see “Your choices” below).
| Name | Set by | Purpose | Duration |
|---|---|---|---|
| _ga | Google Analytics | Distinguishes unique visitors | Up to 14 months |
| _ga_<container-id> | Google Analytics | Persists session state for this GA4 property | Up to 14 months |
| ephology_analytics_consent | This site (not Google) | Remembers your Accept/Decline choice, in your browser’s local storage rather than a cookie, so the banner doesn’t reappear every visit | Until you clear your browser data or change your choice |
We do not run advertising, and advertising-related storage (ad_storage, ad_user_data, ad_personalization) stays switched off for every visitor, always – there is no cookie category to opt into for this because it’s simply never offered to Google in the first place.
Data sent to Google Analytics is retained for 14 months and then automatically deleted, per our GA4 property’s configured retention setting.
Where your data goes
Analytics data (when you’ve consented) is processed by Google Ireland Limited / Google LLC, which may involve transferring data outside the UK; Google provides its own safeguards for this, described in Google’s Privacy Policy. Contact-form data goes only to our own inbox via Web3Forms – see Web3Forms’ privacy policy. We don’t sell personal data to anyone, ever.
Your choices
- Change or withdraw analytics consent at any time – click Cookie Preferences in the footer of any page to reopen the banner and choose again.
- Clear it yourself – clearing your browser’s cookies and site data for ephology.com resets your choice, and the banner will ask again next visit.
- Block it at the browser level – most browsers and many browser extensions let you block analytics scripts outright; that always takes precedence over anything this site does.
Your rights under UK GDPR
You have the right to ask us for access to, correction of, or erasure of your personal data; to restrict or object to our processing of it; and to receive a copy of it in a portable format, where those rights apply. To use any of these, email hello@ephology.com. If you’re unhappy with how we’ve handled your data, you can also complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO).
Changes to this policy
If what we collect or why changes, we’ll update this page and the “Last updated” date at the top.
